Terms & Conditions

1. Services

Ginger Beer Weddings provides professional post-production services for wedding videographers, including highlight films, full wedding films, teasers, ceremony and reception edits, photo editing, and same-day delivery recaps. All services are subject to availability and must be confirmed by payment of the required deposit. By paying the deposit invoice, the client confirms acceptance of these Terms & Conditions in full.

2. Booking & Payment

A non-refundable deposit of 50% is required to confirm and secure your project slot. The remaining balance is due no later than 14 days before the agreed delivery date. Failure to pay the final balance may result in cancellation of services and forfeiture of the deposit. All prices and payments are in US Dollars (USD).

For Rush, Next Day, and Same Day orders, 100% prepayment is required before production begins. No work commences until payment is confirmed.

3. Delivery

The standard delivery timeline is 14 calendar days. The countdown begins only after all three of the following conditions are met:

• All footage has been received in full
• The required folder structure is correct
• Payment has been confirmed

Rush orders are delivered within 7 calendar days (+30% surcharge). Next Day orders are delivered within 24 hours (+50% surcharge, teaser and highlight only). Same Day recaps are delivered on the wedding day, no later than 23:59. All files are delivered digitally via a private link or file transfer service.

4. Revisions

Each order includes 2 rounds of revisions at no additional charge. A revision round is defined as one consolidated list of comments submitted at one time — not individual requests sent sequentially.

Additional revision rounds beyond the second are charged at $50 per round. Changing the music after client approval is charged at $90. A full re-edit based on a new concept or structure is treated as a new order billed at the standard rate.

Revision requests must be submitted within 3 business days of receiving the delivered file. Revisions do not include complete structural re-edits or changes to the musical score after initial approval. If no feedback is received within 3 business days of delivery, the project will be considered approved and accepted.

5. Cancellations & Refunds

The 50% deposit is non-refundable under all circumstances. Once the deposit is received, the team begins allocating production resources, evaluating footage, and scheduling the project.

A refund may be considered only if both of the following conditions are met:

• The final result materially and demonstrably differs from the agreed style or structure outlined in the brief, and the client is able to provide a re-edited version of the material illustrating the specific discrepancy.
• The refund request is submitted within 14 days of delivery of the final file.

Refunds will not be issued in the following cases:

• Subjective stylistic disagreement not specified in the original brief
• Cancellation after production has begun
• Rush, Next Day, or Same Day orders — 100% prepayment is fully non-refundable
• Quality limitations caused by poor source footage (out of focus, incorrect exposure, incomplete coverage)
• Unsorted or incomplete footage delivery
• After one or more revision rounds have been used, as use of revisions constitutes acceptance of the intermediate result

In the event Ginger Beer Weddings must cancel a project, a full refund of all payments received will be issued. This constitutes the full extent of our liability.

6. Additional Fees

The following conditions may result in additional charges above the standard rate:

• Footage exceeding 1 TB: +$50
• Unsorted footage requiring team organisation: +$50
• Multi-day project — 2 days: +$100 / 3 days: +$200
• 5–6 cameras: +$50 / 7 or more cameras: +$100

Object and cleanup removal (people, wires, logos, backgrounds) is billed at $100/hour following an initial assessment of the material.

7. Copyright & Usage Rights

Ginger Beer Weddings retains copyright to all edited films, project files, and associated materials produced in the course of the engagement. The client (videographer) is granted a non-exclusive license to use, publish, and distribute the delivered files under their own brand for commercial and promotional purposes, including but not limited to showcasing on their website, social media, and client-facing portfolios.

This license is granted upon receipt of full payment and does not transfer ownership of the underlying project files, sequences, or source compositions. Where music is selected by Ginger Beer Weddings, it will be royalty-free and properly licensed. If the client provides music, the client is solely responsible for ensuring appropriate licensing rights.

In the event a refund is approved, the license described above is revoked. Ginger Beer Weddings reserves the right to delete all edited files and project materials. The client agrees not to use or publish these materials in any form following revocation.

8. Use of Materials for Promotional Purposes

Ginger Beer Weddings may occasionally request permission from the Client to use edited video or photo materials for portfolio or marketing purposes. Providing such permission is entirely optional and does not affect the provision of services. The Client may grant this permission through a separate written confirmation (including email). If no permission is granted, Ginger Beer Weddings will not use any materials for promotional purposes.

By granting this licence, the Client confirms that they:

• have obtained all necessary permissions, image rights, and model releases from individuals appearing in the Materials;
• have full legal authority to grant this licence to Ginger Beer Weddings;
• understand that the licence is voluntary and not required for the execution of the service;
• indemnify Ginger Beer Weddings against any claims arising from unauthorised promotional use if such permissions were not properly obtained.

This licence can only be granted through a separate written confirmation (email is sufficient). If no permission is granted, Ginger Beer Weddings will not use any Materials for promotional or portfolio purposes. The Client may withdraw this permission at any time, and Ginger Beer Weddings will remove all related promotional content without undue delay.

9. Client Responsibilities

The client is responsible for delivering all footage in the required folder structure and in full before the agreed project start. Delivery timelines begin only after all three conditions listed in Section 3 are satisfied.

Same Day and Next Day services are only available when proxy files are provided. A minimum 4-hour buffer after receiving material is required before delivery.

All revision notes must be consolidated into a single list per round and submitted within 3 business days of receiving the delivered file.

The client confirms they hold all necessary rights to the footage submitted for editing and that its use by Ginger Beer Weddings for the purposes of this engagement does not infringe on any third-party rights.

10. Liability

Ginger Beer Weddings will make every effort to deliver results as specified. In the unlikely event of technical failure, third-party service outages, or circumstances beyond our reasonable control (including force majeure), our liability is limited to a full refund of payments received. We are not liable for any indirect, incidental, or consequential damages of any kind.

11. Privacy

Personal and business information submitted as part of an order is used solely to coordinate and deliver services. We do not sell or share client data with third parties. 12. Changes to These Terms

Ginger Beer Weddings reserves the right to update these Terms & Conditions at any time. The most current version will always be available at gingerbeerweddings.com/terms. Continued use of our services after any update constitutes acceptance of the revised terms.

13. Acceptance

By paying the deposit invoice, the client confirms they have read, understood, and agree to these Terms & Conditions in full, and confirms acceptance of our Privacy Policy (available at gingerbeerweddings.com/privacy). These Terms & Conditions constitute the entire agreement between the parties. If you do not agree, please do not proceed with placing an order.

14. Independent Contractor

Ginger Beer Weddings operates as an independent contractor. Nothing in these Terms & Conditions shall be construed as creating a partnership, joint venture, employment, or agency relationship between the parties. Ginger Beer Weddings retains full control over the manner and means of performing the services, subject to the deliverables and standards agreed in the project brief.

15. Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of the Republic of Bulgaria. Any disputes arising out of or in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the competent Bulgarian courts.
